Smoke Spot Hub Terms of Service
Last Updated: September 2, 2026
1. Acceptance of Terms
These Terms of Service (“Terms”) govern access to Smoke Spot Hub at https://smokespothub.com, including Smoke Spot Messenger and related APIs used by the application.
By signing in or using the service, you agree to these Terms. If you are using Smoke Spot Hub on behalf of Smoke Spot stores, you represent that you are authorized to do so. If you do not agree, do not use the service.
2. About Smoke Spot Hub
Smoke Spot Hub is a private store-operations platform for authorized Smoke Spot team members. It supports internal messaging, inventory workflows, weekly orders, store transfers, invoices, documents, work hours, and operational backups.
It is not a public marketplace, consumer app, or general-purpose cloud drive.
4. User Accounts
Employees sign in with a store, employee directory entry, and PIN. Owners and Admins sign in with an email address and password. You must use the account issued to you. Sharing PINs, passwords, or sessions is prohibited.
5. Employee / Manager / Owner Roles
Permissions depend on store membership and role (Employee, Manager, Admin, Owner). Some actions—such as voiding invoices, connecting Google Drive, managing employees, or viewing certain financials—are limited to specific roles. The software enforces these rules; attempting to bypass them is prohibited.
6. Account and Credential Security
You are responsible for keeping your PIN or password confidential and for activity on your account. Notify an Owner or Admin promptly if you believe your credentials were misused. We may lock or rotate credentials to protect the service.
7. Permitted Use
You may use Smoke Spot Hub only as provided, to carry out assigned store work, communicate with teammates, and maintain business records you are allowed to access.
8. Prohibited Use
You may not:
- Access another person’s account or data without authorization
- Probe, scrape, or disrupt the service, or attempt to bypass permissions or security
- Upload unlawful, harmful, or unrelated content
- Use the service for advertising, public distribution, or non-Smoke Spot businesses
- Copy, resell, or reverse engineer the application except as the law allows
9. Messenger and Communications
Messenger is an internal workplace channel. Messages, photos, and announcements may be retained according to store policy and these Terms. Direct conversations are limited to their participants. Do not use Messenger to harass others or to store information your role does not allow.
10. Business Records
Records created in Smoke Spot Hub—including documents, revisions, trash/restore history, and audit events—are company business records. Do not treat the app as a personal archive you can permanently erase at will.
Supported official documents can keep revision history. Moving a document to Trash does not always destroy the company’s need to retain related audit or backup information.
11. Invoices and Financial Records
Invoices, payments, voids, and related PDFs are operational financial records. Issued invoice numbers stay identity for that document even when later revisions exist. You must enter accurate information and must not alter records to mislead the company, customers, or counterparties.
12. Store Transfers
Store Transfers, receipts, discrepancies, and related financial PDFs document movement of goods between locations. After send or receive, quantity and financial corrections follow the product’s adjustment and revision rules. Do not use unofficial side records to replace the system of record.
13. Weekly Orders / Operational Recommendations
Weekly Orders may be drafted by staff or prepared with automated operational review. Suggestions can draw on Out of Stock, Product Need, Messenger, and related sources. Finalizing a Weekly Order is a human business decision. The system is not autonomous and does not guarantee that a draft is complete or error-free.
14. Product Knowledge / Automated Recommendations
Smoke Spot Hub includes automated recognition and recommendation features that help identify products and draft operational items from messages and catalog data. These features assist operations. Users must review recommendations where the workflow requires it. Authorized humans remain responsible for final business decisions, including Weekly Order finalization and inventory actions.
Recommendations are not guaranteed to be error-free. The service does not use a third-party generative AI provider to operate these suggestions.
15. Google Drive Integration
Google Drive is an optional company backup destination during transition. Only an Owner or Admin may connect it. Employees are not required to connect personal Google accounts.
The connection requests these Google scopes: openid, email, https://www.googleapis.com/auth/drive.file. Google currently classifies drive.file as a non-sensitive scope. Tokens are used only to provide that backup. Disconnecting, pausing, or losing Google authorization may stop Drive backups without stopping core Hub operations.
Private Cloudflare R2 object storage is configured by the company on the server. Employees do not connect R2 accounts.
You must not use the company Drive connection to store unrelated personal files through Smoke Spot Hub.
16. Third-Party Services
The service depends on the processors listed in the Privacy Policy, including:
Supabase (authentication, database, and private file storage)
Hostinger (application hosting for smokespothub.com)
Google (optional company Google Drive backup via OAuth and the Drive API while that destination remains connected)
Cloudflare (private R2 object storage for company backups when that infrastructure is configured)
Browser Web Push services (delivering Messenger alerts through the Web Push protocol (for example Chrome, Firefox, or Safari push infrastructure))
Those providers’ own terms and outages can affect Smoke Spot Hub. We are not responsible for third-party platforms we do not control.
17. Data Backup
Google Drive backups, Cloudflare R2 backups, and in-app storage are operational safeguards, not a guarantee against all data loss. You should not assume every draft, photo, or device setting is infinitely retained. Official documents and their revision history are kept for business-record purposes as described in the Privacy Policy.
18. Availability and Service Changes
We may modify, suspend, or discontinue features. Maintenance, hosting, or provider issues can cause downtime. We do not warrant uninterrupted or error-free operation.
19. User Responsibilities
You must use the app lawfully, keep credentials secure, enter operational data carefully, and follow company policies. You are responsible for the content you submit.
20. Intellectual Property
Smoke Spot Hub, Smoke Spot Messenger, the Smoke Spot name and logos, and the software are owned by the company or its licensors. These Terms do not transfer ownership. Store records you enter remain company operational data.
21. Privacy
Our Smoke Spot Hub Privacy Policy at https://smokespothub.com/privacy explains how information is collected and used. That policy is part of how the service operates; please read it.
22. Disclaimer
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” FOR INTERNAL BUSINESS USE. TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. Automated suggestions, catalogs, and backups may be incomplete or delayed.
23. Limitation of Liability
To the maximum extent permitted by law, Smoke Spot Hub and its operators are not liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or business interruption, arising from use of the service.
Our total liability for claims relating to the service is limited to one hundred U.S. dollars (US $100) or, if greater, the amount required by non-waivable law. Some jurisdictions do not allow certain limitations; in those cases the limitation applies to the fullest extent allowed.
24. Indemnification
If your misuse of the service, your content, or your violation of these Terms causes claims against Smoke Spot Hub or its operators, you will defend and indemnify them against those claims, damages, and reasonable expenses, to the extent permitted by law.
25. Suspension / Termination
We or an Owner/Admin may suspend or deactivate access if credentials are abused, if these Terms are violated, or if employment or store membership ends. Sections that should survive (including business records, disclaimers, and liability limits) continue after access ends.
26. Changes to Terms
We may update these Terms. The “Last Updated” date on this page will change. Continued use after an update constitutes acceptance of the revised Terms. The current version is the one published at https://smokespothub.com/terms as of September 2, 2026 or a later posted date.
27. Governing Law
These Terms are governed by the laws of the State of Illinois, United States, without regard to conflict-of-law rules. Illinois is the state where the Smoke Spot stores that use this internal system operate. Courts located in Illinois have exclusive jurisdiction, except where applicable law requires otherwise.
